Your trust is the foundation of AutoTax. This Privacy Policy explains what information we collect, how we use it, and the choices you have. We keep things plain-English wherever possible.
1. Who we are
AutoTax ("we", "us", "our") is an Australian-built AI bookkeeping service that helps small business owners, tradespeople, and property investors automatically capture, process, and categorize financial documents and sync them into accounting platforms such as Xero and MYOB.
2. Information we collect
We collect information you provide directly (such as your name, email, business details, and uploaded receipts, invoices, and bills), information generated automatically when you use AutoTax (such as device, browser, IP address, and usage analytics), and information we receive from connected services (such as Xero or MYOB account metadata and ledger data) when you authorize an integration.
3. How we use your information
We use your information to provide and improve the AutoTax service, perform OCR and AI categorization on documents you submit, post journals and transactions to your connected accounting platform, send service updates and waitlist communications, prevent fraud and abuse, and comply with our legal obligations under Australian law.
4. AI processing
Financial documents you upload may be processed by our AI models and trusted third-party AI providers solely to extract, classify, and structure their contents. We do not sell your data, and we do not use your financial documents to train public foundation models.
5. Sharing your information
We share information only with: (a) infrastructure and AI providers that process data on our behalf under confidentiality obligations; (b) the accounting platforms you explicitly connect (e.g. Xero, MYOB); (c) your nominated accountant or bookkeeper when you grant access; and (d) authorities when required by law.
6. Data storage and security
Your data is stored in secure, access-controlled cloud infrastructure with encryption in transit (TLS) and at rest. We apply bank-grade security practices, least-privilege access controls, audit logging, and regular reviews. No system is perfectly secure, but we work hard to protect your data.
7. Data retention
We retain your information for as long as your account is active and for a reasonable period afterwards to meet legal, tax, accounting, and audit obligations. You may request earlier deletion of personal data that is not subject to a retention requirement.
8. Your rights
You can access, correct, export, or request deletion of your personal information at any time. You can also withdraw consent for optional processing and disconnect any linked accounting platform from within AutoTax. To exercise these rights, contact us using the details below.
9. Cookies and analytics
We use a small number of essential cookies to keep you signed in and remember preferences, and privacy-respecting analytics to understand how AutoTax is used so we can improve it. You can control cookies via your browser settings.
10. Children
AutoTax is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.
11. International transfers
Where data is processed outside Australia by our service providers, we ensure appropriate safeguards are in place consistent with the Australian Privacy Principles.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or through the product before the changes take effect.
